This includes hosting multilateral meetings, a hallmark of Canada’s convening power and global diplomacy. As international diplomacy adapts to the impacts of the COVID-19 pandemic, multilateral meetings and other major events are being held virtually. There is international consensus that virtual meetings will continue well into the future and in some cases may replace more traditional forms of meetings. At this time, there is also an increased number of multilateral meetings being held virtually as Nations need to collaborate on issues related to the impacts of COVID-19. These multilateral meetings must meet the same high standards, of official languages accessibilities, protocol, security and convenience for government delegations as in-person meetings. Global Affairs Canada needs to secure immediately the services of a private sector supplier that can provide the needed level of audio-visual tools for virtual meetings and event productions to ensure the same flexibility and security as would be available at in-person meetings. Global Affairs Canada’s Summits Management Office (SMO) requires a production company to supply and operate, if and when requested, on a short-term rental basis, the equipment, technological services, and audio-visual tools for the virtual meetings and events as outlined in this Statement of Work (SOW). The Contractor must provide technical equipment, audio-visual tools, services and labor to fulfill the requirements listed in the Pricing Schedule and detailed in Section 7 ; The Contractor will collaborate with the Project Authority to define the final requirements for each requested meeting or event; Requirements are subject to change up to an hour prior to event start time; Additionally, it will be the Contractor's responsibility to ensure that all the necessary qualified technical personnel and installations are operational as of dates identified with Project Authority per meeting and event. The solicitation is intended to result in the award of up to 3 contracts in each of 2 Workstreams, with each contract purchasing Work from only one Workstream. Each contract will be for 1 year plus 2 one-year irrevocable options allowing Canada to extend the term of the contract.
